Safi · Setup guide

Setup guide.

Every step, every click, in order. Tick them off as you go.

About 30 minutes. Set up on a computer; after that, everything works on your phone too.

What you’ll need

All you need to start: a computer with Chrome.

You’ll set these up as you go. Each one has its own step below, so you don’t need them yet:

  • A Gmail account (best: a new wedding-only one), made in step 1
  • Claude, Pro recommended, in the “Bring Safi home” steps
Want Safi to do it for you?

You can ask Safi to walk you through or do most of these steps, but every step she does uses your Claude usage, and extra usage is expensive. Doing the clicks yourself takes a little longer and saves your usage for what matters most: designing your website and running your daily checks.

1. Your workbook

Your private copy and your Planner.

  1. 01

    Create a wedding-only email (recommended)

Make a free Gmail just for the wedding, for example oliviaandjameswedding@gmail.com. Use it for everything in this guide: your workbook, vendors, hotels, and RSVPs.

    • Wedding mail stays separate from work and personal email.
    • Everything is easy to find and track, for you and for Safi.
    • You can list it on your website for guest questions.

Create it at accounts.google.com/signup. Then add it in Wedding Details under Wedding email address, and choose Yes in Show on your website? if guests should see it.

    Tip

Already using your own email with vendors? Forward wedding emails to the new address, or add the new one as a second account in Gmail so both are in one place.

  2. 02

    Sign in to Google

Everything lives in your own Google account. If you don’t have one, create a free Gmail account at accounts.google.com.

    Heads up

Use the same Google account for every step in this guide. If you’re signed in to more than one (a work and a personal account), open a private window or a separate Chrome profile signed in to just the one you’ll use.

  3. 03

Make your copy of the workbook

Click the button, then click Make a copy. The copy is saved in your Google Drive and belongs only to you.

  4. 04

    Rename it

Click the name at the top left (it starts with “Copy of”) and type your own, for example Olivia & James Wedding. Bookmark the page so you can always find it.

  5. 05

    Fill in Wedding Details

Open the Wedding Details tab, the second tab along the bottom. Fill in the pink cells: your names, date, venues, and RSVP deadline. In Show on your website? choose Yes or No for each detail.

The rest of the workbook builds itself from your answers. When you’re done you can hide the tab: right-click the tab name › Hide sheet.

    The colors

Pink cells are yours to fill in. Sage cells calculate on their own and are locked. Blue headers are tables Safi keeps updated. Beige headers are tables you set up once. The full key is on the Start Here tab.

  6. 06

    Open your Planner

Wait a few seconds after the workbook loads. A Saffron Studios menu appears after Help. If it doesn’t, reload the page.

The Planner is your at-a-glance dashboard for the whole wedding. In a few steps you’ll give it its own link and bookmark it.

    Saffron Studios›Open my planner
  7. 07

Give the Planner permission (first time only)

The first time you open it, Google asks for permission. Click OK (or Continue) and choose the same Google account.

    Expected warning: say yes

Next you’ll see “Google hasn’t verified this app.” This is normal and appears for any private code living inside your own spreadsheet. It only asks for access to this one workbook, and Saffron Studios never sees your data.

    Advanced›Go to The Planner (unsafe)
  8. 08

    Click Allow

Review the access (your spreadsheet only) and click Allow. Then choose Saffron Studios›Open my planner again. Your countdown, guests, approvals, and budget open in a styled view, and changes you make there save straight to the workbook.

  9. 09

Give your Planner its own link (recommended)

About one minute, once. This turns the Planner into its own page you can bookmark and add to your phone’s home screen.

    1. In the workbook, click Extensions›Apps Script
    2. Click the blue Deploy button (top right), then New deployment.
    3. Click the gear icon next to “Select type” and choose Web app. Not Library.
    4. Set Execute as: User accessing the web app and Who has access: Anyone with Google account. It stays private: the page can only open a workbook the signed-in person already owns.
    5. Click Deploy. If Google asks again, repeat the permission steps: Advanced, Go to The Planner (unsafe), Allow.
  10. 10

    Save and bookmark your Planner

    1. Copy the Web app URL. It starts with https://script.google.com/macros/s/ and ends in /exec.
    2. Back in the workbook, choose Saffron Studios›Save my planner link and paste it.
    3. Choose Saffron Studios›Open my planner in its own tab, then bookmark that page (Cmd+D on a Mac, Ctrl+D on Windows). On your phone, open it and use Share › Add to Home Screen.

This is your at-a-glance dashboard: your countdown, RSVPs, guests, hotels, payments, budget, and the decisions waiting for you. You can add guests, approve updates, and check who has paid right there, so for most things you never need to open the full spreadsheet.

An error or a blank page?

That usually means you’re signed in to more than one Google account (for example work and personal), and Google is opening it with the wrong one. Open your bookmark in an incognito or private window (Cmd+Shift+N in Chrome) and sign in with only your wedding account. Or make a separate Chrome profile for the wedding account and keep the bookmark there.

    Why each couple does this

Google never copies this link when a file is copied, so your Planner link is yours alone. Nobody else’s link can open your workbook.

2. Bring Safi home

Your AI planner, in your own Claude account.

  1. 11

    Get Claude

Safi runs inside your own Claude account. Sign up or sign in at claude.ai. Claude Pro is recommended for the daily inbox check. Set up on a computer; afterwards the Claude app on your phone works too.

  2. 12

    Turn on code execution

Safi needs this to read your workbook and build your website blocks.

Settings›Capabilities›Code execution and file creation: On
  3. 13

    Add Safi to Claude

Download the Safi file. Don’t unzip it. Then upload it to Claude.

    Customize›Skills›+›Upload a skill
  4. 14

    Connect Gmail and Google Drive

Connect both, signing in with the same Google account as your workbook. Drive lets Safi update your workbook; Gmail lets her read wedding mail and write drafts. She never sends anything on her own.

    Settings›Connectors›Gmail & Google Drive›Connect
    Expected screens

Google shows a permission screen for each connector. Choose your account and click Allow.

  5. 15

    Create Safi’s project

In Claude, open Projects and click New project. Paste these exactly.

    Project name
    Safi ♡ Your Wedding Planner
    Description
A little gold for every love story.
Project instructions (paste your workbook link in place of the brackets)
You are Safi, our AI wedding planner from Saffron Studios. Always use the Wedding Planner skill in this project.
Our wedding workbook: [paste your workbook link]
    Our kit: Safi
When we say "Start my wedding planner", run setup. When we say "Run my daily wedding check", run the daily sync.
    Your workbook link

Open your workbook and copy the address from the browser bar. It starts with https://docs.google.com/spreadsheets/d/

  6. 16

    Say the words

Open a new chat inside the project and type:

    Start my wedding planner

Safi reads your workbook, asks only what’s missing, and tells you what she set up.

3. Every day

One check-in, a few decisions.

  1. 17

    Your daily check

Each morning, open the project and type Run my daily wedding check, or ask Safi to schedule it for you. She logs RSVPs, addresses, bookings, and payments, drafts replies in Gmail, and lists the few decisions that need your yes.

Approve or skip each one in the Planner’s Approvals, or tick Approve in the Daily Approvals tab.

  2. 18

Set up the rest at your pace

Add hotels in Hotel Block, your planned amounts in Budget, everyone who pays in Payment Ledger (spell names exactly as you’ll use them), and guests in Guest List or the Planner’s + Add a guest. The Overview tab and the Planner update on their own.

4. Automations

Set it once. Safi keeps it running.

  1. 19

    Put Safi on a schedule

Ask Safi to set these up for you. Type the phrase in your project and say “every day at 8 AM” (or whatever suits you). She only ever writes drafts; you send.

    Notifications

When a scheduled check finishes, its summary waits in your Claude app, with the decisions listed. Turn on notifications for the Claude app on your phone so you see it. Prefer email? Set up the email briefing in the next step.

  2. 20

    Get your briefing by email

Your workbook can email you a short briefing: decisions waiting for you, RSVP numbers, and anything due in the next two weeks. It is sent from your own Gmail to yourself.

Saffron Studios›Set up my email briefing

Choose how often (every day, every other day, every 3 days, or weekly) and a time, then click Save. Your first briefing arrives right away.

    Expected screen

Google asks for permission once more so the workbook can email you and run on a schedule. Same steps as before: Advanced, Go to The Planner (unsafe), Allow.

Change it anytime from the same menu, send one now with Email me my briefing now, or turn it off with Stop my email briefing.

If something looks off

Most fixes take one click. Still stuck? Send us a note.

There is no Saffron Studios menu
The page hasn’t finished loading. Reload the workbook and wait a few seconds.
“Sorry, unable to open the file at this time,” or a blank Planner
You’re signed in to more than one Google account, and Google is using the wrong one. Open the Planner bookmark in an incognito or private window and sign in with only your wedding account, or use a separate Chrome profile for it.
There’s no “Set up my email briefing” in the menu
Reload the workbook and wait a few seconds for the Saffron Studios menu. Still missing? Your copy was made from an older version: write to us and we’ll send the update.
I chose Library instead of Web app
Make a new deployment and pick Web app with the gear icon. You can archive the Library one under Deploy › Manage deployments.
“That is not a planner link”
You pasted a different link. In Apps Script open Deploy › Manage deployments, choose the Web app, and copy its Web app URL ending in /exec.
The Planner says something changed since I opened it
Something updated in the sheet while it was open. Click Refresh at the bottom of the Planner and try again.
Is the “unsafe” warning safe to accept?
Yes. Google shows it for any private code that hasn’t gone through its public app review. The Planner only reaches your own workbook, and nothing is sent to us.
