Every step, every click, in order. Tick them off as you go.
About an hour, at your pace. Set up on a computer; after that, everything works on your phone too.
All you need to start: a computer with Chrome.
You’ll set these up as you go. Each one has its own step below, so you don’t need them yet:
You can ask Safi to walk you through or do most of these steps, but every step she does uses your Claude usage, and extra usage is expensive. Doing the clicks yourself takes a little longer and saves your usage for what matters most: designing your website and running your daily checks.
Your private copy and your Planner.
Make a free Gmail just for the wedding, for example oliviaandjameswedding@gmail.com. Use it for everything in this guide: your workbook, vendors, hotels, and RSVPs.
Create it at accounts.google.com/signup. Then add it in Wedding Details under Wedding email address, and choose Yes in Show on your website? if guests should see it.
Already using your own email with vendors? Forward wedding emails to the new address, or add the new one as a second account in Gmail so both are in one place.
Everything lives in your own Google account. If you don’t have one, create a free Gmail account at accounts.google.com.
Use the same Google account for every step in this guide. If you’re signed in to more than one (a work and a personal account), open a private window or a separate Chrome profile signed in to just the one you’ll use.
Click the button, then click Make a copy. The copy is saved in your Google Drive and belongs only to you.
Click the name at the top left (it starts with “Copy of”) and type your own, for example Olivia & James Wedding. Bookmark the page so you can always find it.
Open the Wedding Details tab, the second tab along the bottom. Fill in the pink cells: your names, date, venues, and RSVP deadline. In Show on your website? choose Yes or No for each detail.
The rest of the workbook builds itself from your answers. When you’re done you can hide the tab: right-click the tab name › Hide sheet.
Pink cells are yours to fill in. Sage cells calculate on their own and are locked. Blue headers are tables Safi keeps updated. Beige headers are tables you set up once. The full key is on the Start Here tab.
Wait a few seconds after the workbook loads. A Saffron Studios menu appears after Help. If it doesn’t, reload the page.
The Planner is your at-a-glance dashboard for the whole wedding. In a few steps you’ll give it its own link and bookmark it.
Saffron Studios›Open my plannerThe first time you open it, Google asks for permission. Click OK (or Continue) and choose the same Google account.
Next you’ll see “Google hasn’t verified this app.” This is normal and appears for any private code living inside your own spreadsheet. It only asks for access to this one workbook, and Saffron Studios never sees your data.
Review the access (your spreadsheet only) and click Allow. Then choose Saffron Studios›Open my planner again. Your countdown, guests, approvals, and budget open in a styled view, and changes you make there save straight to the workbook.
About one minute, once. This turns the Planner into its own page you can bookmark and add to your phone’s home screen.
This is your at-a-glance dashboard: your countdown, RSVPs, guests, hotels, payments, budget, and the decisions waiting for you. You can add guests, approve updates, and check who has paid right there, so for most things you never need to open the full spreadsheet.
That usually means you’re signed in to more than one Google account (for example work and personal), and Google is opening it with the wrong one. Open your bookmark in an incognito or private window (Cmd+Shift+N in Chrome) and sign in with only your wedding account. Or make a separate Chrome profile for the wedding account and keep the bookmark there.
Google never copies this link when a file is copied, so your Planner link is yours alone. Nobody else’s link can open your workbook.
Your AI planner, in your own Claude account.
Safi runs inside your own Claude account. Sign up or sign in at claude.ai. Claude Pro is recommended for the daily inbox check. Set up on a computer; afterwards the Claude app on your phone works too.
Safi needs this to read your workbook and build your website blocks.
Settings›Capabilities›Code execution and file creation: OnDownload the Safi file. Don’t unzip it. Then upload it to Claude.
Customize›Skills›+›Upload a skillConnect both, signing in with the same Google account as your workbook. Drive lets Safi update your workbook; Gmail lets her read wedding mail and write drafts. She never sends anything on her own.
Settings›Connectors›Gmail & Google Drive›ConnectGoogle shows a permission screen for each connector. Choose your account and click Allow.
In Claude, open Projects and click New project. Paste these exactly.

A little gold for every love story.Project instructions (paste your workbook link in place of the brackets)
You are Safi, our AI wedding planner from Saffron Studios. Always use the Wedding Planner skill in this project. Our wedding workbook: [paste your workbook link] Our kit: Full Service When we say "Start my wedding planner", run setup. When we say "Run my daily wedding check", run the daily sync.
Open your workbook and copy the address from the browser bar. It starts with https://docs.google.com/spreadsheets/d/
Open a new chat inside the project and type:
Start my wedding planner
Safi reads your workbook, asks only what’s missing, and tells you what she set up.
Built by Safi, hosted free on Cloudflare.
Your website is hosted free on Cloudflare, in your own account. The only cost is your domain, about $10–11 a year for a .com. Cloudflare sells domains at cost, with no markup.
Buy the domain in the same Cloudflare account you’ll use for your site. It then connects in one click later.
In your project chat, type:
Build my wedding website
Safi reads your workbook and asks for anything missing in one message: your story, events, hotels, photos, colors, and your Save the Date (next step). Not ready to write everything? Answer “use the sample” for anything and change it later.
She gives you wedding-website.zip and your RSVP QR code. Download the zip and double-click it to unzip. You’ll get a folder called wedding-website.
Safi asks how you’d like it. Pick one, or combine them:
Your video. Keep our soft leaf-shadow video, ask Safi to design one with you in your colors, or find a free clip online (Pexels, Pixabay, or Mixkit) and send it to Safi to add. Choose an MP4 of 15–30 seconds, under 25 MB. Your own phone video works too.
Your song. We used a song from SoundCloud, and you can choose any song there. Find it, then send Safi the link. She’ll ask what time the song should start and when it should loop back. It always jumps back to exactly your start time and plays until the time you chose, or to the end of the song.
Your site is live right away at oliviaandjames.pages.dev. Open it on your phone to check it.
If your address ends in workers.dev, you created a Worker instead. It still works, but go back and choose the Pages tab so it matches these steps.
Because you bought the domain at Cloudflare, there’s nothing else to set up.
When Safi gives you a new zip, open your project, click Create deployment, and drag in the new folder. Everyday updates (schedule, travel, and FAQs) don’t need this: they come through your Site Feed automatically.
Your RSVP page can save every reply straight into your workbook, on a tab called RSVP Inbox.
Google shows the same “unsafe” warning as for the Planner. Click Advanced, Go to RSVP (unsafe), then Allow.
With your site, Safi gives you rsvp-qr.png: a QR code in your colors that opens your RSVP page. Put it on printed save the dates, invitations, or a welcome sign.
Safi needs your site address for the code. If you built your site before you had a domain, ask again once it’s connected: Make my RSVP QR code
This lets your website show schedule, travel, and FAQ updates without code. Only the Site Feed tab becomes public, never guests, payments, or emails.
Everything connected.
Each morning, open the project and type Run my daily wedding check, or ask Safi to schedule it for you. She logs RSVPs, addresses, bookings, and payments, drafts replies in Gmail, and lists the few decisions that need your yes.
Approve or skip each one in the Planner’s Approvals, or tick Approve in the Daily Approvals tab.
When Safi finds something new for your website, like a welcome-drinks time or a shuttle schedule, it waits in Daily Approvals. Approve it and it appears on your live site within a few minutes, through your Site Feed.
Add hotels in Hotel Block, your planned amounts in Budget, everyone who pays in Payment Ledger (spell names exactly as you’ll use them), and guests in Guest List or the Planner’s + Add a guest. The Overview tab and the Planner update on their own.
Set it once. Safi keeps it running.
Ask Safi to set these up for you. Type the phrase in your project and say “every day at 8 AM” (or whatever suits you). She only ever writes drafts; you send.
Run my daily wedding checkRSVPs, addresses, bookings, and payments logged; approved updates applied; replies drafted.
Run my weekly vendor checkPayments due soon and quotes with no reply, with follow-ups drafted.
Draft my RSVP remindersA friendly reminder draft for every household still pending.
Draft my thank-you notesDrafts for gifts and kind notes that arrived since last time.
Give me my budget recapPlanned, booked, and paid by category, and who has paid what.
When a scheduled check finishes, its summary waits in your Claude app, with the decisions listed. Turn on notifications for the Claude app on your phone so you see it. Prefer email? Set up the email briefing in the next step.
Your workbook can email you a short briefing: decisions waiting for you, RSVP numbers, and anything due in the next two weeks. It is sent from your own Gmail to yourself.
Saffron Studios›Set up my email briefingChoose how often (every day, every other day, every 3 days, or weekly) and a time, then click Save. Your first briefing arrives right away.
Google asks for permission once more so the workbook can email you and run on a schedule. Same steps as before: Advanced, Go to The Planner (unsafe), Allow.
Change it anytime from the same menu, send one now with Email me my briefing now, or turn it off with Stop my email briefing.
Most fixes take one click. Still stuck? Send us a note.
